Microsoft Dynamics 365 Workflow
What Is It?
A workflow refers to a set of steps, methods, or functions that need to be executed in sequential order. For instance, when you have to place an order for new equipment, it usually follows the steps like estimating the price, getting managers' approval, and then placing the order and updating the inventory.
Typically, a workflow can be regarded as both a system and a business process.
Based on the task at hand, workflows can even branch into different directions called conditional branches. For instance, in the above example, if the manager rejects the proposal for equipment order, the workflow will flow in a different branch where the records will only be recorded. And for approval, the workflow will continue towards the original branch of steps leading to placing the order.
A workflow can be classified into two different types.
Asynchronous
These workflows are executed as background services and are run on the Windows CRM service. The Dynamics 365 uses the windows service as the host application for running asynchronous workflows.
Synchronous
Synchronous workflows are also called real-time workflows and can be easily defined by non-developers as well. They are executed with the help of event execution pipelines and can be defined to include specific steps for pre-operation, post-operation, and core operations. Real-time workflows are created on specific entity records and thus cannot be executed before the Create operation and after the Delete operation of entity records.
It is possible to convert synchronous workflows to asynchronous and vice versa.
Who Uses It?
Workflows can be created and used by any user who owns the entity or has the necessary authorizations within the business unit to create and use workflows.
Thus, anyone in need of automating a specific set of tasks can use the workflow feature to record all the steps and streamline the process effectively.
Benefits
Here are some of the benefits of using a workflow system:
- It helps you maintain consistency across all your business processes. For instance, all the documents and records required to execute a business operation can be processed and maintained consistently when using a well-defined workflow system.
- It helps improve the process visibility by letting you easily track each workflow process's status, history, and performance metrics. This enables you to identify any weak points and thus keep improving your processes for better profits and cost optimization.
- You can view a centralized work list and thus get easy access to all information regarding the assigned tasks and approvals. This can be highly helpful in fast-tracking all pending tasks and improving your team productivity.
